Anyone who has to hand counselor working hours over to accounting used to pull one PDF per person and add up the weekly hours in their head or in a spreadsheet. With five counselors that is tedious, with fifty it costs an afternoon. The new work record overview takes that step off your desk: one table, everybody in it, totals included.
Pick a range and a session, the table is there
You find the page in the backoffice under Teamer → Overviews → Work record overview. At the top you choose a date range and optionally a session. Below it the matrix appears: counselors on the left, the individual calendar days across the top, the time worked on that day in the cells. Every week is followed by a subtotal column, the far right holds the total per person, and the footer adds up each column across the whole team.
Pick a session and the table also lists the counselors placed in it who have not logged anything yet. An empty row is therefore as informative as a full one — you see at a glance whose entries are still missing before you settle the invoice.
Overnight weeks add up correctly
Many camps start on a sunday. Counted in calendar weeks, that arrival sunday falls into the previous week and the weekly total is wrong. The overview therefore builds its weeks as seven day blocks starting at the selected start date: pick the arrival sunday as the start and the block runs from sunday to saturday, with the sunday counted in. Pick a monday and you get the classic calendar week. The split is your call, not a fixed rule.
Approved or pending — visible per day
Every day cell also shows whether that day's entries are already approved (green check) or still pending (hourglass), and whether they have been locked. Locked entries can no longer be changed — once you have reviewed a week you freeze it and hold a reliable state for accounting.
PDF for accounting
One click on the PDF button exports exactly the current selection: one landscape table per week and, at the end, a weekly summary of person by calendar week including the grand total — the sheet you hand on. The familiar per-counselor PDFs are still there and now carry a subtotal after every calendar week.
Not using the teamer addon yet?
This overview is one building block of the teamer addon — and whoever is not using it yet is doing a lot of this by hand.
